Activity capture: turning calls and email into CRM records automatically

Call transcription, email logging and meeting notes written by a model — the setup that gives you complete activity history without a rep typing a word, and the guardrails that keep it accurate.

The most valuable data a company has about its customers is in the conversations its people have with them, and almost none of it reaches the CRM. Activity capture closes that gap: every call recorded and summarised, every email threaded onto the record, every meeting's next steps written down — by a system, in the minute after it happened, in a consistent shape.

Calls

Record with consent (announced at the start, in line with the rules where the call happens). Transcribe. Have a model produce a fixed-format summary: what the customer wants, what was promised, objections, next step with a date, sentiment. Write those to fields, not just a notes blob, so they can be reported on. Attach the transcript for anyone who wants the detail.

Email

Connect the team's mailboxes so threads with known contacts log automatically, with private and personal threads excluded by rule. A model classifies each logged thread — pricing question, scheduling, complaint, referral — so a manager can see, for instance, every open pricing question across the team.

Meetings

Calendar events with external attendees create the activity; the recording bot joins and produces the summary; the next step becomes a task on the deal with the agreed date. The rep reviews and corrects the summary in a minute rather than writing it in ten.

Guardrails

Summaries are marked as generated until a rep confirms them. Anything the model flags as uncertain is highlighted. Sensitive content — health, financial details, anything regulated — is redacted before it is stored. And the team is told plainly what is recorded and who can see it; capture that feels like surveillance gets sabotaged.

Questions people ask next

Is recording sales calls legal?
It depends on where the parties are; many places require consent from one party, some from all. Announce recording at the start, offer to continue without it, and store consent with the recording. A GTM engineer sets up the notice; a lawyer confirms the rule for your regions.
How accurate are model-written call summaries?
Good for the structure — what was discussed, next steps, objections — and occasionally wrong on specifics such as numbers and names. Mark summaries as generated until the rep confirms, and put the transcript one click away so anything important can be checked.
What if reps object to call recording?
Explain what it is for — better summaries, less typing, coaching on specifics — and what it is not for, and let them see the summaries before they are saved. Objections usually fade once the time saved is felt; objections that persist are worth hearing.
