The follow-up agent: chasing quotes and proposals politely, persistently and on time

Sent proposals go quiet because following up is awkward and forgettable. An agent that follows up on schedule, answers the simple questions, detects the real ones and hands them to the rep with context.

A proposal that receives no reply is rarely a no; it is a busy person who meant to respond. Reps know this and still under-follow-up, because chasing feels awkward and the reminder is the first thing dropped on a busy day. A follow-up agent removes the awkwardness and the forgetting: it follows up on the schedule, in the rep's voice, and hands back the moment there is something to say.

The cadence and the voice

Day two after sending: a short note asking whether the document arrived and offering to walk through it. Day five: one specific point from the proposal restated, with a question. Day nine: a relevant case or a useful resource. Day fourteen: the honest close — 'if the timing is wrong, tell me and I'll stop'. The messages come from the rep's mailbox, in a voice the rep approved, and every one is short.

Answer the simple, route the real

Replies about scheduling, document access or clarifying a line item, the agent handles and logs. Replies that raise price, scope, competitors, timing or any objection go to the rep within the minute, with the thread and a one-line summary of what the buyer is asking. The agent never negotiates.

Read the signals

Proposal opened but not replied to: continue. Opened multiple times or forwarded internally: alert the rep now, because that is a buying signal. Not opened after two follow-ups: switch channel — a text or a call task. Out of office: pause and resume on the return date.

Measure the recovery

Proposals sent, proposals replied to, replies that were handled by the agent versus the rep, and the share that moved to a next stage — with the same numbers from before the agent for comparison. Teams typically find the win is not in the extra deals; it is in learning quickly which proposals are dead, so the pipeline stops carrying them.

Questions people ask next

Will buyers know the follow-ups are automated?
They are written in the rep's voice, sent from the rep's mailbox and stop the moment the buyer replies, so most buyers experience them as a diligent salesperson. The rep should be told which messages went out, so a conversation can pick up without surprise.
What about proposals where the buyer asked us not to follow up?
Honour it in the record — a flag that suppresses the sequence — and set a single reminder for the date they suggested, if any. Persistence against an explicit request costs the deal and the relationship.
Can the agent adjust the cadence per buyer?
Yes, within rules: slower for large accounts and public-sector buyers, faster for small deals and time-limited offers, and paused for the dates a buyer mentions. The rep can also override the schedule for a specific proposal without stopping the rest.
