CRM hygiene automation: clean data without nagging the sales team
Reps will not maintain the CRM, and telling them to does not work. The automations that keep records complete, current and de-duplicated with no extra typing.

Every sales leader has sent the email asking the team to update the CRM, and every sales leader has watched it not happen. The problem is not discipline; it is that maintaining a CRM by hand is a second job with no visible reward. The fix is to make the CRM maintain itself from the things reps already do — send email, take calls, book meetings — and to ask a person only for what no system can know.
Capture from activity, not from typing
Connect email and calendar so every conversation is logged automatically. Transcribe calls and have a model write the summary, the next step and the objections into the record. Let meeting bookings update the stage. The rep's notes become optional colour, not the only source of truth.
Fill from lookups
Company size, industry, location, website, technology and social profiles come from enrichment the moment a record is created, and are refreshed quarterly. A record should never sit with an empty industry field waiting for a human to guess.
Prevent duplicates at the door
Normalise email and domain before creating anything. Match on domain for companies, on email for contacts, on fuzzy name-plus-domain as a fallback, and merge or link rather than create. Run a weekly duplicate report for what slipped through and merge automatically when the match is certain, flag when it is not.
Ask for the few things only a person knows
Deal value, expected close date and the competitor in the deal are judgement calls. Ask for them in the moment — a Slack prompt after the meeting ends, a question in the call summary — with one tap to answer. A field required at the right moment gets filled; a field required on a form nobody opens does not.
Questions people ask next
- Will automatic email logging capture private conversations?
- Only if you let it. Log threads with contacts that exist in the CRM, exclude personal domains and a blocklist of internal addresses, and let each person mark a thread private. Tell the team exactly what is captured before turning it on.
- How often should enrichment refresh?
- On creation, then quarterly for company fields and on a trigger — a job change signal, a bounced email — for contact fields. Refreshing everything weekly wastes credits; never refreshing leaves records describing a company as it was two years ago.
- How do we clean the backlog of bad data first?
- Run the same rules as a batch: enrichment over existing records, duplicate detection with auto-merge on certain matches, closure of deals past a staleness threshold, and a report of what could not be fixed automatically. Then the ongoing automations keep it clean.
